
The short answer
Write a clear spec first, search in several places, shortlist five to ten suppliers, send them the same request for quotation, verify the best two or three, compare the full landed cost, and place a small trial order before committing.
Step 1: Define exactly what you need
Suppliers can only quote accurately if you are specific. Write a one-page spec before you contact anyone:
- Product name, material, size, colour, and any standards or certifications required.
- Photos or reference links to similar products.
- Quantity for the first order and expected repeat volume.
- Target price per unit and the delivery terms you expect (for example FOB or CIF).
- Packaging, labelling and branding requirements.
- When you need the goods.
Step 2: Know where to look

Wholesaler or manufacturer? A wholesaler buys from factories and resells in smaller lots, so the price per unit is higher but the minimum order is lower. A manufacturer sells at factory price but usually wants larger quantities.
Step 3: Build a shortlist of five to ten suppliers
Do not rely on one quote. Shortlist suppliers whose products, certifications and export experience match your spec. Check that their listing shows a real product range, a physical address, and a way to contact them that is not only a free email account.
Step 4: Send the same request for quotation to everyone
Sending identical questions makes quotes comparable. You can copy this template:

Step 5: Verify before you pay
- Business registration. Ask for company registration and tax details and check that the name matches the bank account you will pay.
- Factory proof. Request a live video walk-through or recent photos with a timestamp. A factory visit or independent audit is better still.
- References. Ask for two or three buyers you can contact, ideally in your region.
- Samples. Always test samples against your spec before an order.
- Inspection. For larger orders, book an independent pre-shipment inspection.
- Payment terms. Avoid paying everything in advance to a new supplier. Staged payments or a letter of credit reduce risk.
Step 6: Compare the landed cost, not just the unit price
A cheaper unit price can cost more once everything is added. Compare suppliers on landed cost: unit price, tooling or sample costs, packaging, inland transport, freight, insurance, import duty and taxes, and your own time. Also compare lead time and the quality of communication. A supplier who answers clearly during quoting usually communicates clearly during production.
Step 7: Start with a trial order
Place a small order first, inspect it, and only then scale up. Keep two qualified suppliers for important products so you are never stuck.
Red flags to watch for
- Prices far below every other quote.
- Refusing a video call, a sample, or an inspection.
- Asking for full payment up front to a personal account.
- A company name that does not match the payment account.
- Vague answers on MOQ, lead time or certifications.
